More Engagement through centralised Association Information

Emails are the ideal Tool – or not?

Far too often, email is still used as the communication method of choice to distribute information and documents equally to all members.
But relying on emails as an information channel means relying on an unreliable partner. Emails are not always delivered, they get lost, end up in spam folders, slip through filters, are not read fully, lose their attachments and are by no means as time-saving as one might think.

In the hope of reaching as many members as possible, mailing lists are created and then maintained with great effort. Granular distribution of information is, however, not possible this way. Specific groups, committees or regional areas cannot be targeted separately. Members also have no control over their own user data or the ability to manage which emails they receive or unsubscribe from.

Information already sent is not accessible to new members and must be forwarded manually. A central archive could solve this, but even the most advanced email services cannot offer such a solution. Everyone is forced to create their own storage system, either within the email service or locally on their own device.

Local storage of files is equally problematic. When updates are made to a document, it must be sent to everyone again so they remain on the same version. There is no version history and changes cannot be tracked. Overlaps can also occur, meaning not all amendments can be integrated. Even voting on changes must take place via lengthy email chains before agreement is reached.

Forwarding updated documents is frequently forgotten, and poor internet connections or large file sizes can prevent emails from being sent at all. Multiple versions of the same document may exist, sometimes with fundamentally different content.

These and other issues weaken the effectiveness of the association, slow down decision-making, increase the loss of important information and make it difficult for members to recognise and benefit from the value the association offers.

The more accessible information, working files and important documents are for committees and members, the more engagement an association will receive.

For new members in particular, quickly finding and accessing information of all kinds is essential. The sooner a new member can orient themselves, the sooner they can participate actively in association work. Existing members also want to be active in the association. However, a lack of information or difficult access often prevents this, diminishing their enthusiasm and leading them to invest less, or none, of their time. In the worst case, this leads to members leaving the association.
