The launch of an interactive platform brings many changes and, with them, uncertainties for users. It is therefore important to develop a Stakeholder Engagement Plan for the period that follows. This enables you to navigate this critical phase with ease.

Intensified Community Management after the Launch

When you introduce your stakeholder engagement platform, there is much to do. Users need to be brought onto the platform and it must be prepared accordingly: initial posts should have been written, groups formed and key documents stored. At this point, community support is of particular importance. This is especially true for the phase that follows: users now require a great deal of attention. Particularly at the beginning, some may still struggle with uncertainties or concerns about the purpose of the change. At this time, users are not yet familiar with the platform. They may therefore find it difficult to recognise its benefits. It is more likely that the network will meet resistance in this phase. In the worst case, some colleagues may not participate at all.

In the phase directly after the launch, it is therefore especially important to inspire users about the added value of the platform. This is the only way to motivate and activate colleagues in the long term. To achieve this, you should design a Stakeholder Engagement Plan that enables you to act proactively and respond quickly.

Establishing Linguistic Conventions and planning Content

Plan in advance how and what you want to communicate on the stakeholder engagement platform in the first few weeks. This allows you to dedicate the time gained to supporting the community. To avoid misunderstandings from the outset, you can create a netiquette. This outlines guidelines for behaviour on the platform. In principle, these should reflect everyday interaction within the organisation.

Once you have created a netiquette, you can move on to planning and producing the actual content. Ensure you include various formats that you can share at regular intervals. Do not consider only text and image posts in the content plan, but also question posts, surveys or external content. Try to establish a schedule for publication in advance. What matters here is not sharing as much content as possible at once, but maintaining regular activity in the network. In this way, you ensure that your colleagues return to the stakeholder engagement platform again and again.

Defining how to handle Critics in the Stakeholder Engagement Plan

Despite your efforts, it is likely that you will encounter criticism. Do not take this too personally. The natural reaction to change is often scepticism, even when you have prepared your colleagues thoroughly. Other critical situations may also arise. For these cases, it is worthwhile creating guidelines even before the launch of the platform. How do you want to respond? Plan explicit steps of action for various critical situations. For example, define how you intend to deal with posts that breach the netiquette. This makes it easier for you to respond quickly and effectively in the moment.

Ensuring User Motivation

To ensure that not only you but also the users themselves contribute to activity in the network, they need to be motivated to participate. This applies particularly to the early phase of the platform, in which the benefits of interactive collaboration are not yet apparent to all users. If users do not understand what advantages the platform offers, they see no reason to become active themselves. You should therefore take various motivational measures and incorporate them into your Stakeholder Engagement Plan. For example, schedule set times each day to provide feedback on your colleagues’ posts. Comment on and mark content as interesting or respond directly to users, in doing so, you set a good example.

A particularly effective way to motivate users is through competitions and special activities. These too can be planned early to save stress. For instance, reward a user once a month for particularly active participation on the platform. This encourages other colleagues to follow the example of the user of the month. What matters in all your activities is consistency. Only if you establish continuity from the very beginning will it carry over to the stakeholders.
